Secret Santa invitation: WhatsApp, email and poster templates
· 5 min read
Need a clear Secret Santa invitation? Copy WhatsApp, email and poster templates with a spot for your invite link.

A good Secret Santa invitation states the swap date, the budget, the sign-up deadline and the invite link in the first few lines. Miss any of those four and you spend a week chasing replies before the draw even starts. Here is what to write, plus WhatsApp, email and poster templates ready to paste.
What a Secret Santa invitation must include
Agree the content before you pick the channel. A short, complete message saves ten follow-up questions.
- The date (and place) of the swap: family meal, last day before leave, evening with friends.
- The budget per gift: a clear amount (for example £20) avoids awkward gaps on the day.
- The sign-up deadline: a real date, not « whenever you can ».
- The invite link: the one people use to join, never the admin link.
Add one line about the golden rule (keep your draw secret) if the group is new to the game. Our Secret Santa rules are handy to share alongside. On Santamigo you create the group (name, date, budget), get the invite link, then paste it into your message.
Secret Santa invitation templates for WhatsApp
WhatsApp is still the easiest place to gather family, friends or teammates. Pin the message at the top so latecomers can find it. Our guide to WhatsApp Secret Santa walks through the full flow.
Family template
« Hi family! We're doing Secret Santa. Budget: £20. Gift swap: Christmas Eve at Mum's. Sign up by Sunday 30 November with this link: [LINK]. Add 2 or 3 ideas to your wish list. And mum's the word! »
Friends template
« Secret Santa among us. Budget £15 to £25. We swap gifts on 20 December at the restaurant. Sign up before 5 December here: [LINK]. Fill in your wish list if you want useful ideas. Mystery until the day. »
Work template
« We're running a team Secret Santa. Budget: £15. Swap on 18 December at the Christmas drinks. Sign up by 8 December via this link: [LINK]. First name is enough, no account needed. Pairs stay secret, even from the organiser. »
Replace [LINK] with your Santamigo invite link. Tweak budget, dates and place. A long message gets ignored: keep the essentials.

Secret Santa invitation templates for email
Email suits scattered teams, clubs or anyone who is not on the same chat app. Put the key facts in the subject line and repeat the link in the body.

Poster template and note to leave at the office
At work, a note by the coffee machine or on the team board reaches people who miss emails. For a free group, print a short text and add the link (or a QR you generate yourself that points to that link).

For a larger company event, Santamigo's business offer includes a print-ready QR poster, CSV import, domain restriction and your logo and colours (one-off payment from £39 ex VAT, billed in euros on the site).
Common mistakes in a Secret Santa invitation
A poorly worded invite costs a week before the draw. These are the usual traps.
- A message that is too long. Side details (dress code, menu, car shares) belong in a second message.
- Forgetting the budget. Without an amount, gifts diverge and the reveal gets awkward.
- No deadline. « Whenever » means half the group joins the night before.
- Sending the admin link. That link manages the group. If it lands in the chat, someone may see more than they should. Only the invite link is shared.
- Pasting a participant's personal link. Each personal page leads to that person's draw. It stays private.
If you want a draw where nobody creates an account, our guide to online Secret Santa with no sign-up covers the full journey.
In short
Date, budget, deadline and invite link: four items, one message, and your group can join without endless reminders. Create the group on Santamigo (free, no account), copy the invite link, then paste it into the WhatsApp, email or poster template that fits. Create my Secret Santa.
Frequently asked questions
›What should a Secret Santa invitation include?
The swap date (and place), the budget per gift, the sign-up deadline and the invite link. Add a line about keeping the draw secret if the group is new to the game.
›Can I paste the admin link into the WhatsApp group?
No. The admin link manages the group and stays private. Only the invite link goes in the chat, email or poster.
›How do I get the Santamigo invite link?
Create a group (name, date, optional budget). You get an invite link to share and an admin link to keep. No account is required.
›Do I need a QR poster for an office Secret Santa?
Not for a small group: a printed note with the link is enough. The print-ready QR poster comes with Santamigo's business offer, useful for larger events.
›WhatsApp or email: which channel should I use?
WhatsApp for family and friends already in a chat. Email for scattered teams or when people are not on the same app. Both carry the same invite link.
