Somewhere around the end of October, someone in the group chat asks: "Are we doing Secret Santa this year?" Everyone says yes, and then nothing happens until mid-December, when it dawns on someone that there's a week left to draw names, shop and wrap. The game itself is easy. The timing is where it goes wrong. Here's a countdown that works backwards from the exchange, so each step lands at the right moment.
Start from the exchange date
Everything hangs off the big day. Family lunch, the office Christmas do, a night in with friends: pin that date down first, then work backwards. Allow roughly six weeks from the first message to the unwrapping. It's comfortable without dragging on, and it leaves room for the people who take a while to reply.
So if you're swapping presents around 20 December, you want to get things going in early November. If your exchange is earlier in the month, which is common for work parties, move everything forward.
Six weeks before: date, budget and who's in
This is your opening message, and it should answer the three things everyone wants to know: when, how much and who. Diaries fill up fast in December, so offer two dates at most and decide quickly.
For the budget, a tight range works better than a simple maximum and avoids awkward gaps when the presents are opened. If some of the group are new to the game, link to the Secret Santa rules so you're not answering the same questions ten times.
Four weeks before: sign-ups and wish lists
Drop the sign-up link in the group and give people a deadline. A week is plenty. With Santamigo, everyone joins from the link shared on WhatsApp using just their first name, with no account to create. It's also the moment to flag exclusions, such as a couple who shouldn't draw each other.
Ask everyone to fill in their wish list when they sign up. Three ideas with a rough price is already a huge help for whoever draws them. If anyone is stuck, our guide on what to put on a Secret Santa wish list will give them a nudge.
Three weeks before, at the latest: the draw
Frequently asked questions
›How far in advance should you organise Secret Santa?
Allow about six weeks between the first message and the exchange. At the very least, run the draw three weeks before the presents are swapped.
›When should you draw names for Secret Santa?
Three weeks before the exchange at the latest, or four if presents have to go in the post. If the group wants to shop on Black Friday, draw names before then.
›Can you still organise Secret Santa a week before?
Yes. Send the date, budget and sign-up link in one message, run the draw two days later and choose presents you can buy locally.
›What's the best date for the gift exchange?
A time when everyone is together anyway: a family meal, the office Christmas do or a night out with friends. At work, avoid the very last days before the holidays, when half the team is already off.
